Stop retyping bookings: Airbnb and Booking in one calendar via iCal

Do you list apartments on Airbnb and Booking and copy reservations by hand into a spreadsheet or a diary? Then you know the feeling: a new booking arrives and you rush to check the dates aren't taken somewhere else.

Why double bookings happen

The main cause isn't technology, it's retyping data by hand. Every copy is a chance for a mistake. A double booking means apologising to guests, often finding alternative accommodation, and above all losing trust.

How it works with iCal

Most portals offer an iCal link for each apartment that contains the occupied dates. You paste that link into the apartment in FalcoNest and the bookings are loaded automatically. No retyping, and all your apartments are in a single view.

What iCal doesn't do (and why it matters)

iCal is not instant. Portals refresh their calendars with some delay, so there can be a gap between a booking on one portal and it showing up elsewhere. That's why iCal greatly reduces errors from manual copying, but on its own it can't guarantee a double booking never happens. For dates that are close, it's worth checking the portal directly.

What it means for operations

Once a booking is in FalcoNest, the system prepares proposed cleaning and check-in tasks for it. The coordinator just reviews, confirms and assigns them to a specific person. No more entering work by hand, and no more forgotten cleanings.

Bookings from the owner

If an owner finds a guest directly, they enter the booking in their portal and hand it to your agency with one click. Tasks are prepared just like for a portal booking.

Conclusion

It isn't about calendars syncing by magic. It's about no longer losing time on retyping, and about every booking turning into work planning on its own.
